Alpha Ministries Canada, is a national Christian non-profit organization with an office in New Westminster, BC. What you get to do:
- Proactively coordinate and manage the National Director’s calendar, including scheduling domestic and international meetings across multiple time zones.
- Prepare meeting agendas, presentations, briefings and necessary materials for both local and international gatherings.
- Sit as a key member of the National Director’s office team.
- Serve as a liaison between the National Director and internal/external stakeholders, ensuring effective communication and coordination.
- Maintain organized records and databases of contacts, partners, and event details.
- Assist with special projects and initiatives as assigned by the National Director, related to both domestic operations and global outreach.
- Manage the administration needs of the Alpha Canada Board of Directors.
- Run domestic and global events, including logistics, venue coordination, travel arrangements, and onsite management.
- Handle confidential and sensitive information with discretion and professionalism.
- Support the operational needs of the national office.
- Be the best introduction to Alpha Canada as a front line interaction to our stakeholders.
Requirements:
- A min. 5 years of proven experience as an Executive Assistant or similar role to an executive level position, with a strong background in event planning, board of director facilitation and international coordination.
- Excellent organizational and time-management skills, with the ability to prioritize competing tasks effectively.
- Ability to anticipate needs, think strategically, and act proactively.
- Strong verbal and written communication abilities, including cross-cultural communication skills and eagerly accept the collaboration of this team.
- Proficiency in MS Office (Word, Excel, PowerPoint), Google Suite, CRMs, project management software and familiarity with virtual meeting platforms.
- Ability to work independently, think on your feet with strong problem solving skills.
- Bachelor’s degree preferred, but not required, depending on relevant experience.
